Part-Time Deputy Clerk-Treasurer
Job Summary
The Village of Kekoskee is seeking a reliable, detail-oriented individual to serve as Part-Time Deputy Clerk-Treasurer. This position assists the Clerk and Treasurer with a wide range of administrative, financial, and election-related duties and offers the potential for advancement into the Treasurer or Clerk role. The successful candidate will work independently and as part of a small team in a professional municipal office environment. In the absence of the Village Clerk the Deputy Clerk-Treasurer performs the statutory duties of the Village Clerk.
Position Details
- Status: Part-time
- Hours: 10–15 hours per week (primarily at Village Hall; flexibility required for meetings and elections)
- Pay Rate: $17.00 per hour
- Benefits: None
- Location: Village Hall, W3275 County Road TW, Mayville, WI 53050
- Training: Full training is available. Candidate will be expected to attend occasional paid training sessions and seminars.
- Mileage: Federal mileage rate paid for travel to trainings and work-related responsibilities.
Essential Qualifications
- Strong typing skills
- Strong reading and writing skills
- Strong speaking skills
- Strong people skills, including the ability to handle resident concerns and sensitive issues professionally
- Strong skills in Microsoft Word and Excel
Primary Duties & Responsibilities
Assist the Clerk and Treasurer with the following:
- Payroll, Disbursements & Receipts
- MARGE software and QuickBooks
- Accounting reports
- Sanitary Department Bookkeeping – Maintain financial records in Quickbooks
- Notices – Prepare and distribute official notices
- Elections – Election duties include up to four elections in presidential or gubernatorial years and typically two elections in alternate years. Duties include:
- Voter registrations, absentee ballot mailing and in-person absentee voting, state election system data entry
- Maintaining and filing candidate paperwork
- Polling place setup, testing of voting machines, training poll workers
- Election Day duties (shifts take place between 6:00 am – 9:30 pm)
- Licensing & permitting – assist with organizing and maintaining records for:
- Alcohol
- Dogs
- Zoning
- Other licenses and permits as required
- Meeting Preparation, Attendance & Minutes
- Maintain Village website and social media account
- Prepare Resolutions and Research Ordinances
- Maintain Official Records – including filing and weeding
- Procedure Manuals – updating and creating
- Other duties as necessary and assigned
This position requires great attention to detail, organization, and confidentiality in the daily operations of the Village, as well as working with the public.
